How to submit stones?
Dear Prospective Client:
Thank you for considering the GIA India Laboratory for your grading and identification needs. GIA is very pleased to introduce its newest location in Mumbai as an efficient and convenient way of submitting your items to GIA for service.
Step 1: Open an Account with GIA
Below you will find some of the information you will need in order to open an account with the GIA India Laboratory:
Open an account with GIA using the Walk-in method:
- A signed Client Agreement Form with a copy of the owner’s photo identification with signature
- Business card with owner’s name on it
- Photo Identification with Signature of the representative
- A copy of Gems Jewelry Export Promotion Council (GJEPC) document
- Income Tax Pan card number (Company)
- Value per stone in USD
- One stone per parcel paper including the weight and the shape of the stone (please do not have Grading or Company Information on the parcel)
- All Diamonds must be loose (un-mounted)
- Letter of Authorization ( Sample Authorization Letter )
- Packing slip/Memo (Number of stones, Shape, Weight, Value, Client reference number, GIA service requested)
- Payment is required upon pick-up in the form of Cash or Check (Credit Card payments will be available in the future)
Open an account with GIA through Transport:
- A signed Client Agreement Form with a copy of the owner’s photo identification with signature
- Business card
- A copy of Gems Jewelry Export Promotion Council (GJEPC) document
- Income Tax Pan card number (Company)
- Value per stone (Required at all times)
- One stone per parcel paper including the weight and the shape of the stone (please do not have Grading or Company Information on the parcel)
- All Diamonds must be loose (un-mounted)
- Packing slip/Memo (Number of stones, Shape, Weight, Value, Client reference number, GIA service requested)
- Alternate shipping address (optional)
- Payment is required with shipment Check only (Please include the Vat, Shipping and Handling Fees)
If you have a representative other than yourself (messenger), that you would send to GIA:
Please issue a letter on company letterhead (required), stating his or hers first and last name giving them permission to pick and submit stones on the account. Along with the letter on company letterhead, the new representative is required to bring photo identification with signature.
If an employee from your company is no longer working for you, but they are authorized in your GIA account then, please issue a letter on company letterhead requesting to remove that particular person.
The Original GIA receipt is required at all times in order to pick-up stones (No Copies).
Step 2: Use GIA Account for future submissions to GIA
Required procedures for future submissions to GIA using Walk-in method
These procedures are required at all times; No exceptions
- Value per stone in Rupees
- One stone per parcel paper including the weight and the shape of the stone (No Grading or Company Information allowed on the parcel)
- All Diamonds must be loose (un-mounted)
- Packing slip/Memo (Number of stones, Shape, Weight, Value, Client reference number, GIA service requested)
- Payment is required upon pick-up in the form of Cash or Check (Credit Card payments will be available in the future)

- Alternate shipping address (optional)
- Payment is required with shipment Check only (Please include the Vat, Shipping and Handling Fees)
